CREATING A GOOD-LOOKING BUSINESS LETTER

Good business letter presentation can be almost as important as what you are saying.  Take the time to think about your layout, and use a high quality paper - it suggests that what you have to say is valuable.

Remember the following four points when choosing a format for your letter:

1.    Be concise - try to limit your letter to a single page
2.   Use single space, with double space between paragraphs
3.   Keep the first paragraph short - this is more visually appealing
4.   Leave space by centering the body of your letter on the page

One of the best ways to ensure consistency in your approach is to set up template documents.  Click on the links below to access suggested document formats:

Business Writing Tip of the Week

If you need a prompt response to your letter, setting a response deadline is quite appropriate.  Make sure the date is realistic, and state the deadline specifically - exact dates stick in people's minds better than "please respond within 10 days."  A phrase such as "To save us both time during this busy season, please respond by 3 June" is courteous and precise.
